1. Overview
Sherwood Dental uses text messaging (SMS) to communicate with patients and, where applicable, individuals who have requested information about our services.
This Text Message Policy explains the types of messages we may send, how consent is obtained, how you can opt out, and how we handle information associated with text communications.
By providing your mobile telephone number, you do not automatically agree to receive promotional text messages. Where required, we will obtain your consent before sending text messages.
2. Types of Text Messages
Depending on your preferences and the services you use, we may send the following types of messages:
Appointment and service-related messages
-
Appointment confirmations and reminders.
-
Requests to confirm, reschedule, or cancel an appointment.
-
Notifications about changes to appointment times or office hours.
-
Follow-up communications relating to your visit.
-
Administrative messages concerning billing, forms, or other aspects of your care, where appropriate.
Promotional and marketing messages
If you separately consent to receive promotional messages, we may send information about practice news, dental services, special offers, or other relevant promotions.
Promotional messages are optional and are not a condition of receiving dental care.
3. Consent to Receive Text Messages
We will obtain consent where required by applicable privacy laws and Canada’s Anti-Spam Legislation (CASL).
Consent may be collected through an approved online form, patient intake form, written authorization, or another lawful method.
Where applicable, we will distinguish consent for appointment-related communications from consent for promotional messages. Agreeing to receive appointment reminders does not automatically mean you have agreed to receive marketing texts.
By opting into promotional text messages, you agree that Sherwood Dental may send promotional messages to the mobile number you provided, subject to your consent preferences and applicable law.
You are not required to consent to promotional text messages to receive treatment from our practice.
We may retain records of consent, including the date, method, telephone number, and scope of the consent, as appropriate.
4. Message Frequency and Charges
The number of messages you receive will depend on your appointment schedule, communication preferences, and any promotional messaging you have separately authorized.
-
Message frequency: Varies.
-
Message and data rates: Standard messaging and data rates may apply, depending on your mobile carrier and plan.
-
Supported carriers: Canadian Mobile Internet and Phone Carriers
We do not control fees charged by your mobile carrier. Please contact your carrier for information about your messaging plan.
5. How to Opt Out
You may withdraw your consent to promotional text messages at any time by replying STOP to a promotional text message, where supported, or by contacting our office.
After receiving an opt-out request, we will process it as promptly as practicable and within any applicable legal deadline.
If you opt out of promotional messages, we will stop sending you promotional texts covered by that request.
If you wish to stop receiving all text messages, including appointment reminders, please contact us directly at 780-464-4166 or info@sherwoodparkdental.ca. We will update your communication preferences as applicable.
Opting out of text messages does not cancel an appointment or your relationship with our dental practice. You may still need to receive important appointment or administrative information through another agreed-upon communication method.
Where permitted by law, a final confirmation of your opt-out may be sent.

7. Privacy and Confidentiality
We respect the privacy and confidentiality of our patients.
Information associated with text messaging may include your mobile telephone number, messaging preferences, consent records, message delivery information, and the content of communications.
We may use this information to send authorized messages, manage communication preferences, maintain records, and meet our legal and professional obligations.
We may use third-party messaging platforms or service providers to send and manage text messages on our behalf. These providers may process information as necessary to deliver their services, subject to applicable legal requirements and appropriate safeguards.
For more information about how we collect, use, disclose, and protect personal information and health information, please review our Privacy Policy.
8. Sensitive Health Information
Standard SMS text messages may not be encrypted end-to-end and may be visible in notifications or on devices accessible to other people.
For your privacy, we will take reasonable steps to limit the sensitive information included in text messages. We generally use text messages for appointment logistics and brief administrative communications rather than detailed clinical discussions.
Please do not send detailed medical histories, photographs of dental conditions, payment card details, or other sensitive information by text unless our practice has specifically approved an appropriate method for that purpose.
If you need to discuss sensitive health information, please contact our office and ask about an appropriate communication method.
9. Mobile Number Accuracy and Shared Devices
You are responsible for providing an accurate mobile telephone number and notifying us if it changes.
If you provide a shared or family telephone number, other people with access to that device may see messages intended for you. Please tell our office if you have privacy concerns or prefer another communication method.
We are not responsible for the security or privacy practices of your mobile carrier, your device, or other individuals who have access to your telephone, except to the extent required by applicable law.
10. Delivery and Service Limitations
Text message delivery may be delayed, interrupted, or unsuccessful because of carrier issues, network availability, device settings, or other factors beyond our control.
We cannot guarantee that every message will be delivered or read.
Please do not rely on text messaging for urgent dental concerns or emergencies. For urgent dental assistance, you may contact our office at 780-464-4166. For a medical emergency, call 911 or seek immediate emergency care.
A text message does not replace a confirmed appointment booking, professional dental advice, or direct communication with our office when needed.
11. Changes to Your Communication Preferences
You may contact our office to update your mobile number, request a different communication method, or change your messaging preferences.
We will handle requests to withdraw consent in accordance with applicable law. Withdrawal of consent does not affect the lawfulness of communications sent before the withdrawal took effect.
12. Compliance with Applicable Laws
Our text messaging practices are intended to comply with applicable privacy legislation, including Alberta’s Health Information Act and Personal Information Protection Act, where applicable, and Canada’s Anti-Spam Legislation and related regulations where they apply to the messages we send.
Commercial or promotional messages will be sent only where we have the consent or other lawful basis required by applicable law and will include the required sender identification, contact information, and unsubscribe mechanism.
